QR / Barcode generation for Physical document management

Post by ammonite »

Is there any chance of a Qr / Barcode generation system that can be incorporated into Mayan for the purpose of physical document management. we can do this internally ourselves, but it may make sense for an integrated tool.

e.g

not all documents or use cases for documents involve the destruction of the physical original, in this case it may be useful for a barcode generation and label printing section, so that the original document could be found - this could be auto populated with metadata fields already setup for use within Mayan.

e.g (hypothetical metadata fields)

document ID: 12345

Name: 1996-02-03- abc builders - construction contract

Physical location: filing cabinet 6 - draw 3 - folder 12

type: contract

year: 1996

other metadata fields would obviously be possible, and the user should be able to select what meta data to include in the QR code, or perhaps create templates per document type. as some document types may not require certain metadata points - while others may require more.

this should then generate a QR code per document file - possibly on upload as a workflow or action like "submit for OCR Y/N" (submit for QR generation Y/N) - (though name etc may need to be dynamic so if you change the filename in Mayan it changes the field populated)

this would then need an option to print the QR codes to stickers, in this screen you would need to be able to scale the QR code dimensions and page dimensions to work with a label printer (a zebra style printer for example)

how the user would interface with these stickers and documents would be the remaining issue - if doing lots of scanning then batch printing them you may have an issue with mis labelling - so automatic printing may not be recommended - however a plain text identifier could be used - and the user could check the QR code on a tablet or smart phone to see if it matches with the document, each document would only need to be re tagged if a code fell off- so there should be a reprint code button if implemented.

as i say - this can be done using other tools, but it would be a nice addition to Mayan to have the option

Hello,

Work on a feature that covers this and other advanced automations using QR codes was started about a year ago => https://gitlab.com/mayan-edms/mayan-edm ... trol_codes

However, as with Zone OCR, the current obstruction is a legal one. We have been trying to get around the legal red tape before finalizing the code and including it as a core app.

The ability to disable pages in version <4.0 and the page composition API in version >4.0 were the prerequisites for this to allow disabling the document page containing the QR codes if the user wished to do so.

For background, the legal issues around QR code programming and Zone OCR were the reason why the Mayan EDMS project had to adopt a CAA document (https://docs.mayan-edms.com/chapters/de ... idual.html) and can't accept code submissions without a signed one.

Cheers!

Hi Michael,

I was just wondering if there was any progress with the zonal ocr legal issues, and if not is there any way that the community can help out. Is there anything more specific you can say?

I work in the copyright/intellectual property sphere so I am well aware of how problematic things can be even if the seem insignificant to some.
